Where to click

Your exports, step by step

Pick your current software to see where each file is. Send us the files, or upload them yourself under Import your data. Nothing changes for your clients until you have checked every balance.

Mindbody

Mindbody’s "Export to Excel" downloads a web page saved as .xls: upload it to Klasvo as it is, no need to open it in Excel. Set each report’s dates and choose All Locations before you generate it.

Clients: Insights › Reports › Clients › Mailing Lists. List type Email, and All clients (active and inactive). Generate. Export to Excel, and upload that file as Clients.
Team and pay rates: Insights › Reports › Staff › Payroll for last month shows each teacher’s rate. Copy each teacher’s name, email, role and pay a class into our Team template, and upload it as Team and pay rates.
Class schedule: Insights › Reports › Staff › Schedule at a Glance, dates from today as far ahead as you have classes. Export to Excel, and upload it as Class schedule.
Class packs and credits: Insights › Reports › Clients › Visits Remaining (Accelerate and Ultimate plans). Set the start date back to the day you opened, pick All Locations and uncheck "Show consolidated records". Generate. Export to Excel, and upload it as Class packs. Each pack finds its client by email.
Memberships: Insights › Reports › Payment Processing › Autopay Detail. Dates from today to a month ahead (a year ahead if you sell yearly memberships), status Scheduled and Suspended. Generate. Export to Excel, and upload it as Memberships. Each member’s first scheduled autopay is their next billing date here; a suspended one comes in frozen.
Upcoming bookings: Insights › Reports › Clients › Client Visits (or the class roster report your plan has), dates from today to your last booked class. Keep the status column, so canceled visits are left out. Export to Excel, and upload it as Upcoming bookings.
Gift cards: Insights › Reports › Sales › Gift Cards, all dates. Export to Excel, and upload it as Gift cards. Cards with nothing left are left out.
Account balances: Insights › Reports › Clients › Account Balances, all clients. Export to Excel, and upload it as Account balances. Money owed (below zero) is left out: collect it at the desk.
Signed waivers: Mindbody keeps the day each client signed in its Subscriber data export (ask Mindbody: it is paid, for studios leaving). Upload its waiver file as Signed waivers. Without it, clients sign your waiver here at their first booking.
Class history: Insights › Reports › Staff › Attendance with Revenue, from the day you opened to yesterday. Export to Excel, and upload it as Class history.
Purchase history: Insights › Reports › Sales › Sales, as far back as you want history. Export to Excel, and upload it as Purchase history.

Saved cards: Saved cards leave Mindbody only in its paid Subscriber data export, encrypted for another payment company. Klasvo does not take saved cards over yet: each member adds their card once, on a secure page, before their first renewal here.

Arketa

Every Arketa report exports the same way: Analytics › Reports › the report › Export › choose the data points (choose all) › CSV › Download Report. A year of bookings can take five minutes to prepare.

Clients: Analytics › Reports › Clients: the list of all your clients. Export, all data points, CSV. Upload it as Clients.
Class schedule: Schedule, the list view for the weeks ahead, exported as CSV, or our template. Upload it as Class schedule.
Class packs and credits: Analytics › Reports › Clients › Credit balances. Export as CSV, and upload it as Class packs.
Memberships: Analytics › Reports › Subscriptions › Active (and Paused, as a second file). Export as CSV, with the next billing date, and upload it as Memberships.
Upcoming bookings: Analytics › Reports › Bookings › Reservations, dates from today ahead. Export as CSV, and upload it as Upcoming bookings. Waitlisted places join the waitlist here.
Gift cards: Analytics › Reports › Clients › Gift cards. Export as CSV, and upload it as Gift cards.
Account balances: Analytics › Reports › Clients › the credit balance report in money (not class credits). Export as CSV, and upload it as Account balances.
Signed waivers: Your waiver’s responses, exported as CSV with the day each was submitted. Upload it as Signed waivers.
Class history: Analytics › Reports › Bookings › Reservations, from the day you opened to yesterday. Export as CSV, and upload it as Class history.
Purchase history: Analytics › Reports › Sales › Payments, as far back as you want. Export as CSV, and upload it as Purchase history.

Saved cards: Arketa takes payments through Stripe. Stripe can copy the saved cards into your Klasvo Stripe account on request, so most members keep their card; anyone not matched adds theirs once, on a secure page, before their first renewal here.

Momence

Momence documents few exports. Its reports download from Analytics › Reports; for anything without a download, ask Momence support for a CSV, or use our template.

Clients: Customers › Customer List, then download it as CSV (or ask Momence support for "all customers as CSV"). Upload it as Clients.
Class packs and credits: Analytics › Reports › the class pack balances report, downloaded as CSV. Upload it as Class packs.
Memberships: Analytics › Reports › the active memberships (subscriptions) report, with the next renewal date. Upload it as Memberships.
Upcoming bookings: Analytics › Reports › the upcoming bookings report, dates from today ahead. Upload it as Upcoming bookings.
Signed waivers: Momence gives each signed waiver as a PDF on the customer’s page. Ask Momence support for the signed dates as CSV, or clients sign your waiver here at their first booking.
Class history: Analytics › Reports › the check-ins report for past dates. Upload it as Class history.

Saved cards: Momence takes payments through the studio’s own Stripe account. Stripe can copy the saved cards into your Klasvo Stripe account on request, so most members keep their card; anyone not matched adds theirs once, on a secure page, before their first renewal here.

Glofox

Glofox downloads are CSV files. Dates are written day first outside the United States: the import page reads the order from the file, and you can switch it.

Clients: Manage › Clients. Leave the filter empty for everyone. Actions › Download, and upload the file as Clients.
Class packs and credits: The same client download carries each client’s Membership Name, Credits Remaining and Membership Expiry Date. Upload that same file again, as Class packs.
Memberships: Reports › Memberships › Members. Under Columns, add Price paid, Commenced at and Next payment at. Download, and upload it as Memberships. Paused members come in frozen.
Upcoming bookings: Reports › Bookings, dates from today ahead. Download, and upload it as Upcoming bookings.
Account balances: Glofox documents no export of money on account: ask Glofox support for each member’s account balance as CSV, or fill our Account balances template.
Purchase history: Reports › Transaction, as far back as you want. Download (CSV), and upload it as Purchase history. Failed payments are left out; refunds are kept.

Saved cards: Glofox Payments runs on Stripe, in an account Glofox controls; direct debits through GoCardless cannot move at all. Klasvo does not take saved cards over yet: each member adds their card once, on a secure page, before their first renewal here.

WellnessLiving

WellnessLiving exports every report as CSV from App Drawer › View All › Reports › the report › Export. Customize a report to add the Email column where it has none, so each row finds its client.

Clients: App Drawer › View All › Clients, or Reports › Client Details. Export as CSV, and upload it as Clients.
Team and pay rates: Reports › Payroll Details shows each teacher’s pay. Put name, email, role and pay a class in our Team template.
Class schedule: Reports › Class Schedule, from today. Export, and upload it as Class schedule.
Class packs and credits: Reports › Attendance › Visits Remaining. Add the Email column. Export, and upload it as Class packs.
Memberships: Reports › Sales › Memberships. Add the Email column; keep Next Bill and Next Bill Date. Export, and upload it as Memberships. On Hold members come in frozen.
Upcoming bookings: Reports › the upcoming attendance report, dates from today, and the Wait List report. Export each, and upload them as Upcoming bookings.
Gift cards: Reports › Gift Cards. Export, and upload it as Gift cards.
Account balances: Reports › the client account balances report, with the Email column added. Export, and upload it as Account balances. Balances due (below zero) are left out: collect them at the desk.
Purchase history: Reports › All Sales, as far back as you want. Export, and upload it as Purchase history.

Saved cards: WellnessLiving’s card payments run through its payment partner, not Stripe, and it does not hand payment methods over. Klasvo does not take saved cards over yet: each member adds their card once, on a secure page, before their first renewal here.

Vagaro

Vagaro exports Excel files (.xlsx), not CSV: open each one in Excel or Google Sheets and save it as CSV first. Only the business owner can export the customer list.

Clients: Reports › Customers. Leave the filters empty. Export (bottom right) › Excel, save it as CSV, and upload it as Clients.
Class packs and credits: Reports › Packages. Export › Excel, save as CSV, and upload it as Class packs. Packages name the customer only: import your clients first, so each finds them by name.
Memberships: Reports › Memberships Report, once with Active and once with Paused. Export › Excel, save as CSV, and upload each as Memberships.
Upcoming bookings: Vagaro has no export of upcoming appointments: ask Vagaro support for a CSV of upcoming appointments and classes. Upload it as Upcoming bookings.

Saved cards: Vagaro processes payments itself (Vagaro Merchant Services) and documents no way to move saved cards out. Klasvo does not take saved cards over yet: each member adds their card once, on a secure page, before their first renewal here.

Walla

Walla exports CSV files with fixed headings, which Klasvo reads as they are. The full export Walla prepares when you leave (paid, 30 days’ notice) holds the same and more.

Clients: Main menu › Contacts › Export (top right). Upload it as Clients.
Class packs and credits: Reports › Active plans. The file holds packs and memberships together. Upload it as Class packs: the memberships in it are left out with a note.
Memberships: Reports › Active plans, the same file. Upload it again as Memberships: the packs in it are left out with a note.
Upcoming bookings: Reports › Upcoming class bookings. Upload it as Upcoming bookings. Walla has no waitlist export.
Gift cards: Walla’s gift cards live in Gift Up!: export the balances there, and upload them as Gift cards.
Account balances: Reports › Account balances (Client Id, Client Name, Balance). Upload it as Account balances. A balance below zero is money owed, and is left out.
Purchase history: Reports › Transaction export, as far back as you want. Upload it as Purchase history.

Saved cards: Walla takes payments through Stripe. Klasvo does not take saved cards over yet: each member adds their card once, on a secure page, before their first renewal here.

Mariana Tek

Every Mariana Tek report: Reports › the category › the report › View › date range › Generate Report › export. Choose a report’s "Local Time" version where there is one: the UTC versions put evening classes on the next day.

Clients: Reports › Marketing › Customers – Summary, with the date range from the day you opened. Export, and upload it as Clients.
Class packs and credits: Reports › Marketing › Outstanding Credits. Export, and upload it as Class packs.
Memberships: Reports › Finance › Membership Recurring Fees Forecast – Details: each member’s next charge date and amount. Export, and upload it as Memberships. Frozen members: Reports › Frozen Memberships – Details, uploaded the same way.
Upcoming bookings: Reports › Utilization › Reservations, dates from today ahead. Export, and upload it as Upcoming bookings. Its Reservation Type column puts waitlisted places on the waitlist here.
Gift cards: Reports › Gift Cards and Account Balances. Export, and upload it as Gift cards.
Account balances: The same report, Gift Cards and Account Balances, has each customer’s account balance. Upload it again as Account balances.
Signed waivers: The Customers – Summary export has a Waiver Signed column: upload it again as Signed waivers. Mariana Tek gives no day, so each is dated the day you import.
Class history: Reports › Utilization › Reservations, past dates. Export, and upload it as Class history.
Purchase history: Reports › Orders – Local Time. Export, and upload it as Purchase history.

Saved cards: Mariana Tek takes payments through Stripe, in an account under its own platform. Klasvo does not take saved cards over yet: each member adds their card once, on a secure page, before their first renewal here.

TeamUp

Every TeamUp report has a Download button that gives a CSV file. Choose the columns before you download: name, email, and what the report is about.

Clients: Customers › Customer List › Export Filtered List, with no filter. Upload it as Clients.
Team and pay rates: Reports › Events › Instructor Hours and Pay Rates. Put each teacher’s name, email and pay a class in our Team template.
Class schedule: Reports › Events › All Classes & Appointments, from today. Download, and upload it as Class schedule.
Class packs and credits: The same report, for your session-limited memberships (class packs), with sessions remaining and expiration date. Download, and upload it as Class packs.
Memberships: Reports › Memberships › All Customer Memberships, status active and hold. Add the price and renew date columns. Download, and upload it as Memberships. Memberships on hold come in frozen.
Gift cards: Reports › Gift Cards. Download, and upload it as Gift cards.
Signed waivers: Reports › Forms & Documents › Signed Waivers. Download, and upload it as Signed waivers.
Class history: Reports › Events › All Attendances, past dates. Download, and upload it as Class history.

Saved cards: TeamUp takes cards through Stripe or direct debits through GoCardless. Stripe can copy the saved cards into your Klasvo Stripe account on request, so most members keep their card; anyone not matched adds theirs once, on a secure page, before their first renewal here.

Zen Planner

Zen Planner exports from saved reports: Dashboard › Saved Reports › New Report › Edit Report Settings › check the columns › remove the filters › Refresh Report › Export CSV.

Clients: Saved Reports › Members › New Report › People. Check name, email, phone, birth date and status. Export CSV, and upload it as Clients.
Memberships: Saved Reports › Memberships, with payment amount and next payment date. Export CSV, and upload it as Memberships.
Class history: Saved Reports › Attendance, past dates. Export CSV, and upload it as Class history.

Saved cards: Zen Planner’s payments run through PaySimple or CardPointe, not Stripe. Klasvo does not take saved cards over yet: each member adds their card once, on a secure page, before their first renewal here.

PushPress

PushPress gives a members download and report downloads (CSV or Excel). Its members file has no pack balances or paused status: add those from the reports below, or our template.

Clients: Members › Download Members (right-hand side). Upload it as Clients.
Team and pay rates: The Payroll report (CSV) has every coach’s pay. Put name, email, role and pay a class in our Team template.
Memberships: Reports › Financial › Details › Upcoming Payments › ⋯ › Download Data › CSV, with Advanced Options › Export All Rows. Upload it as Memberships: each member’s next payment is their next billing date here.
Class history: Reports › Engagement › All-Time Check-Ins. Download as CSV, and upload it as Class history.

Questions about moving

What owners ask us first

How long does the move take?

Expect to go live one to two weeks after you send us your export. Until the day you choose to switch, you keep using your current software.

Do my clients have to do anything?

Just one thing: sign in once, with the email they already use with you. Their credits, packs and upcoming classes are already there. We give you a ready-made email to tell them.

Will anyone lose credits or bookings?

No. We move every credit, with the date it runs out. We move every booking still to come. Before you go live, we check each client’s balance against your old system.

What about members’ saved cards and memberships?

Your members keep their memberships, dates and prices. Members add their card once with a secure link we email for you. Studios already on Stripe can have saved cards carried over: we arrange it with Stripe.

Can we use both systems at the same time?

Yes. Nothing changes for your clients until you say so. You can keep your old software running for a few days while you get to know Klasvo.

What does the move cost?

Nothing. Every studio that switches gets three things free. We move your studio. We build your website. We train your team. There are no setup fees and no hidden fees.

What do you need from me?

Three things. An export from your current software (we show you where to find it). Your logo and a few photos for your website. And one hour for a call where we show you everything before you go live.
